Viewing Sleeping Room Availability

Easily view real-time sleeping room availability pulled directly from your Property Management System (PMS). This integration ensures that the room inventory you see in EventKey is always up to date, reflecting current reservations, room blocks, and availability across all room types.

Use this feature to:

  • Check availability before creating a group or event reservation

  • Ensure accurate inventory allocation for large groups

  • Avoid overbooking by referencing live PMS data

  • Streamline communication between sales and front office teams

This functionality supports more efficient event planning and group management by eliminating the need to switch between systems.

House Inventory Screen Overview

The House Inventory screen provides a comprehensive snapshot of your property's sleeping room status. By default, it displays data for the current business day and includes a 14-day rolling view.

You can view key room and occupancy metrics at the house level, broken down by day. The following information is available:

  • Occupancy by Day: The occupancy percentage for each day.

  • Total Rooms: The total number of rooms available at the property.

  • Available Rooms: The number of rooms still available for sale.

  • Reserved Rooms: The number of rooms currently reserved.

  • Out-of-Order Rooms: The number of rooms marked as out of order.

  • Total Arrivals: The number of reservations scheduled to arrive.

  • Total Departures: The number of reservations scheduled to depart.

  • Adults / Children: The number of adults and children currently in-house.

  • Overbooking Counts: The allowed overbooking limit, if any.

  • Minimum Length of Stay: The minimum duration required for a booking.

  • Maximum Length of Stay: The longest number of nights or days a guest or event can book according to the property’s or venue’s policies.

  • Closed to Arrival: Indicates dates on which new bookings cannot begin, meaning guests or events cannot check in or start on those dates.

  • Special Events / Requirements: If there is a special event on the day.

  • Total Sold Rooms: The total number of rooms sold for the day.

  • Prospect Groups: The number of group blocks in Prospect status (not yet Tentative or Confirmed).

  • Prospect Group Inventory Authorized: The quantity of inventory that will be reserved from available rooms if the group is moved to Tentative or Definite status."

  • Definite and Tentative Group Authorized: The quantity of inventory this is being reserved from available rooms.

  • Groups Inventory Sold: The quantity of inventory that is been picked up from group allocations.

💡 Note: The same data is also available at the room type level, allowing you to drill down into specific room categories for a more detailed view.

Adjusting the Date Range

You can customize the start and end dates displayed on the House Inventory screen by using the date picker located at the top of the screen.

Note: The maximum date range that can be viewed at one time is 30 days.

Using Filters to Customize the View

Click the Filter button located in the top-left corner of the House Inventory screen to open the filter panel. From here, you can choose to view inventory for:

  • All rooms, or

  • A specific subset of room types based on your selection.

This allows you to focus on only the rooms relevant to your needs.

Creating an Event Proposal from House Inventory

You can create an Event Proposal directly from the House Inventory screen without returning to the dashboard. Simply click the "Create a Proposal" button to begin the process.
