The Application Configuration section allows administrators to manage key system and display settings that control how EventKey appears and functions for users. These settings include options such as space display order preferences, time format, default email “From” address, and availability color configurations, among others. Adjusting these configurations ensures that the user interface (UI) aligns with property-specific standards and operational preferences, providing a consistent and optimized experience across all users.

Accessing and Updating Application Configuration
The Application Configuration screen allows administrators to view and manage all available configuration settings that control how the EventKey user interface (UI) behaves and displays information.
Configuration Options
Below is a description of each available configuration option:
Space Display Order Preference: Determines how meeting spaces are displayed in the UI.
Alphabetical: Displays spaces in alphabetical order by name.
Display Order: Displays spaces according to the Display Order value defined on each individual space.
Allowed Special Fields: This setting should always be set to AP Approver.
Event Editors: Defines which user roles have permission to edit events that were not created by them. Available roles include Catering Manager, Conference Coordinator, Event Manager, Group Sales Administrator, Group Sales Representative, and Other.
Deposit Policy Blocks Night Audit: Enable this toggle if the Night Audit process should be blocked when an event has an unpaid deposit that is due.
Hide Type Signature: Enable this toggle to prevent users from applying a typed (keyboard-entered) signature on electronic documents such as BEOs or Contracts.
Show Dashboard Revenue with Tax: Enable this option if you want revenue figures on the dashboard to include taxes.
Use Copy Prefix: Enable this toggle to automatically add the word “Copy” to the name of an event or package when it is duplicated.
Allow Event Downgrade: Enable this option if you want to allow Confirmed events to be downgraded back to Tentative status.
Allow Event Ending with Balance: Enable this toggle to allow events to move to Ended status even if a balance remains outstanding.
Note: If this option is disabled, the Night Audit will be blocked for any event still in Started status with a balance due.
Enable Tax Fee Rollout: Enable this toggle if you want rates and revenue in the UI on event records and during the event creation flow to default to Taxes Included.
Allow Event Status Selection: Enable this toggle to allow users to select an initial event status (Tentative or Confirmed) during the event creation process. If disabled, all new events will default to Prospect status.
Time Format: Select either 12-hour or 24-hour time format. This setting controls how time is displayed in the UI and on documents such as the BEO.
Email From: Enter the default email address that will appear as the “From” address in client communications sent from EventKey.
Note: You must click the Verify button to confirm the email address before it can be used in communications.
Availabilities Configurations: Customize the color scheme for each event status. Click the color box next to each status to choose a preferred color.
Saving Configuration Changes
Once all updates have been made, click the Save button (blue) in the top-right corner of the screen to apply and save your changes.

⏭️ What’s Next Space Display Order: If you change the space display order from Alphabetical to Display Order, ensure that a display order value is defined for each space.
To verify or update display order settings:
Navigate to Spaces > Spaces > Basic Data.
Review the Display Order field for each space.
Enter or adjust the display order as needed to control how spaces appear in the UI.
