Cut Off Policy

A Cut-Off Policy in EventKey defines the date when a tentative or unconfirmed event becomes eligible for automatic release if it has not been moved to confirmed status. This policy helps ensure that valuable meeting space is not held indefinitely, allowing the hotel or venue to manage availability effectively and minimize potential revenue loss from unused space.

The Cut Off Policies screen displays a list of all existing cut off policies available for use with an event.

To create a new policy:

  1. Navigate to the Cut Off Policies screen.

  2. Click the blue Add New button in the top-right corner to begin creating a new cut off policy.

Adding a Cut-Off Policy

When the Add Cut-Off Policy screen appears, fill in the following fields to create your policy:

  • Name
    Enter a clear and descriptive name for the cut-off policy.
    Example: "90-Day Cut-Off"

  • Code
    Provide a unique code or identifier for internal reference.

  • Number of Days
    Enter the number of days for the cut-off period.
    Example: For a 90-day cut-off, enter 90.

  • Allow Editing
    Toggle ON if you want users to be able to adjust the cut-off date when applying the policy in the user interface.

  • Default
    Toggle ON if this policy should be the default cut-off policy for the property.

Once all fields are complete, click the blue Save button to create the policy.

Confirmation

After saving, you will be returned to the Cut Off Policies listing screen.
Your newly created policy will now appear in the list and is available for selection.

🔄 Inactivating a Cancellation Policy

To deactivate a cut off policy:

  1. From the Cut Off Policies listing screen, locate and select the policy you wish to inactivate.

  2. In the policy header, click the Active toggle to switch it off.

Once inactivated, the policy will no longer appear in the Cut Off Policies listing and will not be available for selection on new events.

🔁 Reactivating an Inactive Cut Off Policy

To reactivate a cut off policy:

  1. Navigate to the Cut Off Policies listing screen.

  2. Use the filter option to display All or Inactive policies.

    • Active policies are marked with a green sidebar.

    • Inactive policies are marked with a grey sidebar.

  3. Locate the inactive policy you wish to reactivate and click to open it.

  4. In the policy header, toggle the Inactive switch to ON.

The policy is now reactivated and will appear in the main Cut Off Policies listing screen, making it available for use again.
