Overview: "Do Not Move" Feature in EventKey

In EventKey, the "Do Not Move" feature is designed to protect the assigned meeting space for an event by preventing accidental or unauthorized changes.

When "Do Not Move" is enabled on an event's assigned space, users will be restricted from reassigning or changing the meeting room. This feature is especially useful for:

  • High-priority or VIP events

  • Events with custom room setups or equipment installations

  • Scenarios where space coordination has been finalized with the client

  • Preventing conflicts during peak occupancy periods

By locking the room assignment, "Do Not Move" ensures operational consistency and helps avoid scheduling conflicts or miscommunication between sales, catering, and operations teams.

This setting can be toggled on or off as needed but should be used with discretion to maintain scheduling flexibility when appropriate.

Navigate to Home > Event Management

To begin, navigate to the Dashboard and use the Search box to locate the event.

Enter the full or partial Event Name into the search field. The system will display a list of matching events, or, if there is an exact match, it will appear directly.

Once you’ve identified the correct event, simply click on the event name to open it.

To prevent a meeting room from being moved or reassigned:

  1. Navigate to the Spaces section within the Event Record (reservation).

  2. Locate the assigned meeting room.

  3. Click the "Do Not Move" icon (represented by a lock symbol).

Tip: Use this feature for events with finalized room assignments or special setup requirements to avoid unintentional changes.

After clicking the Do Not Move (lock) icon, a new screen titled "Do Not Move" will appear.

  1. Enter the Reason
    In the text field provided, enter a brief explanation for why the meeting room should not be moved. This note will help other team members understand the restriction.

  2. Confirm the Lock
    Click the blue "Do Not Move" button to lock the room assignment.

Once confirmed, the space will be locked, and users will be prevented from reassigning the room unless the restriction is manually removed.

Tip: Be clear and specific when entering the reason—for example: “VIP client request,” “Custom AV setup,” or “Client-approved space.”

Once the Do Not Move feature is enabled, the meeting room will be locked, and users will no longer be able to change or reassign the space.

  • On the Event Record (reservation), the Do Not Move icon will turn red and the label will update to "Locked" to indicate that the room is protected.

  • If a user attempts to change the meeting space on a sub-event, an error message will appear:

    “Cannot change space of the sub-event. Do Not Move is enabled.”

This visual indicator and system message help ensure that assigned spaces remain secure once locked.

Releasing the "Do Not Move" Lock

To unlock the meeting room and allow changes to the assigned space:

  • Click the red "Locked" icon next to the meeting room in the Spaces section.

This will open the unlock screen, allowing you to remove the restriction and make updates to the room assignment.

From the Room Lock Information screen:

  1. Enter the Reason
    In the provided field, enter a brief explanation for why the room lock is being removed.

  2. Confirm the Unlock
    Click the "Unlock Room" button to remove the restriction and allow the meeting space to be edited or reassigned.

Tip: Be specific when entering the reason—for example: “Client changed room preference” or “Schedule adjustment needed.”

Once the Do Not Move is unlocked, the space will be able to change or reassign the sub-event.

  • On the Event Record (reservation), the Do Not Move icon will turn back to grey and the label will update to "Do Not Move.”
