Event Coordinator Overview

Event Coordinators in EventKey refer to the key personnel responsible for managing and executing events. These roles can include Event Managers, Catering Managers, Group Administrators, or Conference Coordinators, depending on the structure of your organization. Assigning an Event Coordinator ensures there is a designated point of contact for each event, helping streamline communication, manage event details, and ensure a smooth execution from planning through completion.

Accessing and Creating Event Coordinators

The Event Coordinator screen displays a list of all existing coordinators available for use with an event.

To create a new coordinator:

  1. Navigate to the Event Coordinator screen.

  2. Click the blue Add New button in the top-right corner to begin creating a new coordinator.

Adding a New Event Coordinator

When the Event Coordinator screen appears, enter the following information:

  • First Name
    Enter the coordinator’s first name.

  • Last Name
    Enter the coordinator’s last name.

  • Email
    Provide the coordinator’s email address.

  • Phone
    Enter the coordinator’s telephone number.

  • Select Role
    Choose the role that best describes the coordinator’s function from the available options:

    • Catering Manager

    • Conference Coordinator

    • Event Manager

    • Group Sales Administrator

    • Group Sales Representative

    • Other

Note: The Select User field should be left blank if your organization is using Single Sign-On (SSO). This field will only populate users who have been created directly within EventKey.

Once all required fields are complete, proceed to save the coordinator's details.

Confirmation

After saving, you will be returned to the Event Coordinator listing screen.
Your newly created coordinator will now appear in the list and is available for selection when configuring events.

🔄 Inactivating a Event Coordinator

To deactivate a event coordinator:

  1. From the Event Coordinator listing screen, locate and select the Coordinator you wish to inactivate.

  2. In the header, click the Active toggle to switch it off.

Once inactivated, the coordinator will no longer appear in the Event Coordinator listing and will not be available for selection on new events.

🔁 Reactivating an Inactive Event Coordinator

To reactivate a event coordinator:

  1. Navigate to the Event Coordinator listing screen.

  2. Use the filter option to display All or Inactive event coordinators.

    • Active coordinators are marked with a green sidebar.

    • Inactive coordinators are marked with a grey sidebar.

  3. Locate the inactive event coordinator you wish to reactivate and click to open it.

  4. In the header, toggle the Inactive switch to ON.

The coordinator is now reactivated and will appear in the main Event Coordinator listing screen, making it available for use again.
