Price Plan Overview

In EventKey, a Price Plan is a powerful and flexible rate structure that enables you to assign customized pricing to packages or event spaces based on key factors such as seasonality, day of the week, or customer segment. Price Plans allow you to strategically manage rates by offering different pricing tiers for various groups—such as corporate clients, social like weddings or guests booking through specific channels like Online Travel Agencies (OTAs). This approach simplifies rate management, supports targeted pricing strategies, and ensures you remain competitive while maximizing revenue across different market segments.

Accessing and Creating Price Plans

The Price Plan screen displays a list of all existing active price plans.

To create a new price plan:

  1. Navigate to the Price Plan screen.

  2. Click the blue Add New button in the top-right corner to begin creating a new price plan.

When the Add a Price Plan screen appears, complete the following fields to set up your new price plan:

  • Name
    Enter a clear and descriptive name for the price plan.
    Example: "B2B Rates"

  • Code
    Provide a unique code or identifier for internal reference.

  • Editable
    Toggle ON if you want users to be able to adjust the rate manually during the event creation process when this price plan is selected for a space or package.

  • Hourly
    Toggle ON if the rate should be calculated on an hourly basis.
    When enabled, you’ll be prompted to define the default hours and minutes.
    If left OFF, the rate will be treated as a flat fee.

  • Add Description
    Optionally, provide a brief description of the price plan for clarity.

  • Package
    This setting is used when configuring Day Delegate Rates (DDR). More information on DDR setup is provided in the Price Plans_Day Delegate Rates (DDR) Knowledge Base Article.

Once all required fields are complete, click the Save button to create your price plan.

The price plan is now active and available for use in both package and space pricing configurations.

⚠️ Important: Before a Price Plan can be used, the following two steps must be completed:

  1. Assign the Price Plan to a Space
    Navigate to Spaces > Spaces, and add the Price Plan to any space where it should be available.

  2. Associate the Price Plan and Set Rates
    Go to Pricing > Package Pricing or Pricing > Space Pricing to link the Price Plan to a specific package or space, and enter the applicable rates.

These steps ensure the Price Plan is properly configured and available for selection during event setup.

⏭️ What’s Next
After creating a new Price Plan, go to Pricing > Space Pricing or Pricing > Package Pricing to assign the Price Plan to the appropriate space or package, and update the price accordingly. For detailed instructions, refer to the “Space Pricing” or “Package Pricing” Knowledge Base articles under the Pricing menu.

Next, navigate to Spaces > Spaces > Price Plans and attach the new Price Plan to the spaces that are allowed to book it. For more information, see the “Spaces (Meeting Rooms)” Knowledge Base article under the Spaces menu.

The Package Price Plans will be listed in the Price Plan section when adding a package to an event.
